Microsoft OneDrive

Sync your work files to your PC and back up to the cloud.

OneDrive comes preinstalled on Windows 10 and 11. Search "OneDrive" in the Start menu before downloading it.
  1. Press the Windows key and type OneDrive, then open it. If it is not there, download it using the button below.
  2. Enter your Microsoft 365 email address and click Sign in.
  3. Enter your password and complete multi-factor authentication.
  4. When asked where to keep your OneDrive folder, accept the default location unless you have a reason to change it. Click Next.
  5. If you are prompted to back up your Desktop, Documents and Pictures folders, choose the ones you want backed up and click Continue. This is worth doing.
  6. Click Next through the introduction screens, then Open my OneDrive folder.
  7. Your files now appear in File Explorer under OneDrive - [Your Organisation]. A blue cloud icon appears in the notification area near the clock.

A green tick means the file is on your PC. A blue cloud means it is online only and will download when you open it. Right-click any file or folder and choose Always keep on this device if you need it offline.
