New Outlook for Windows

The Outlook app built into Windows 11.

You will need your Microsoft 365 email address, its password, and access to your MFA method (usually the Microsoft Authenticator app on your phone).
  1. Open Outlook.
  2. Click the gear icon at the top right, then Accounts → Email accounts → Add account.
  3. Type your Microsoft 365 email address and click Continue.
  4. You will be redirected to the Microsoft sign-in page. Enter your password.
  5. Approve the sign-in on your phone if prompted for multi-factor authentication.
  6. If asked "Stay signed in to all your apps", choose OK unless your IT policy says otherwise.
  7. Outlook applies all the Exchange settings automatically. Your mail, calendar and contacts will start syncing.
You should never need to enter server names, ports or POP/IMAP settings for a Microsoft 365 account. If Outlook asks for them, the email address has been typed incorrectly.
