Classic Outlook for Windows

Outlook 2016, 2019, 2021 and the classic mode of Microsoft 365 Outlook. The most reliable option for POP.

Before you start, have your full email address and mailbox password handy. Your username is always your full email address, not just the part before the @. Both the incoming and outgoing server are mail. followed by your own domain name.
Type your domain name and the settings below will fill in for you.

Incoming and outgoing use the same host name. If your internet provider blocks port 465 for sending, try port 587 with STARTTLS instead.

  1. Close Outlook completely.
  2. Open the Control Panel (search for it in the Start menu), set "View by" to Small icons, then click Mail (Microsoft Outlook).
  3. Click E-mail Accounts → New.
  4. Select Manual setup or additional server types and click Next.
  5. Select POP or IMAP and click Next.
  6. Enter Your Name (how you want it to appear on outgoing mail) and your Email Address.
  7. Set Account Type to POP3, then enter the incoming and outgoing mail servers from the table above.
  8. For User Name enter your full email address. Enter your password and tick Remember password.
  9. Click More Settings, go to the Outgoing Server tab, and tick My outgoing server (SMTP) requires authentication with Use same settings as my incoming mail server selected.
  10. Go to the Advanced tab. Set the incoming and outgoing port numbers and the encryption type from the table above.
  11. Still on the Advanced tab, under Delivery, tick Leave a copy of messages on the server and set Remove from server after 14 days.
  12. Click OK, then Next. Outlook sends a test message. When both tests show Completed, click Close then Finish.
Reading mail on more than one device? POP downloads messages onto the device. Make sure "leave a copy of messages on the server" is switched on in every mail app, otherwise whichever device checks first will take the mail away from the others.
