New Outlook for Windows

The Outlook app that ships with Windows 11 and the current Microsoft 365 apps.

Before you start, have your full email address and mailbox password handy. Your username is always your full email address, not just the part before the @. Both the incoming and outgoing server are mail. followed by your own domain name.
Type your domain name and the settings below will fill in for you.

Incoming and outgoing use the same host name. If your internet provider blocks port 465 for sending, try port 587 with STARTTLS instead.

  1. Open Outlook. If you see a "New Outlook" toggle switch at the top right and it is off, leave it off and use the Classic Outlook guide instead.
  2. Click the gear icon (Settings) at the top right of the window.
  3. Go to Accounts → Email accounts, then click Add account.
  4. Type your full email address and click Continue.
  5. Outlook will try to detect the settings and usually fail. Click Advanced setup (you may need to click "Show more" first), then choose POP.
  6. Enter the incoming and outgoing server details exactly as shown in the table above.
  7. For Username enter your full email address, and enter your mailbox password.
  8. Make sure the outgoing (SMTP) server is set to require authentication using the same username and password.
  9. Click Continue. Outlook tests the connection and starts downloading your mail.
Reading mail on more than one device? POP downloads messages onto the device. Make sure "leave a copy of messages on the server" is switched on in every mail app, otherwise whichever device checks first will take the mail away from the others.
New Outlook handles POP accounts poorly and the setup screens change often. If it refuses to connect after two attempts with correct settings, use Classic Outlook or Thunderbird instead rather than fighting it.
